    The Executive Administrative Assistant will provide executive level support to the CEO of IDEAL INDUSTRIES INC. as well as interaction/support for executive leadership. Required duties will include, executive calendar management, coordinating and booking national and international business travel for employees, arranging and coordinating meeting logistics and set-up for both onsite and offsite meetings with the expectation of hundreds of participants, manage reporting and logistics for organizational activities, invoices and PO’s, as well as support for the  IDEAL Family Council.

    Responsibilities

    Core Responsibilities

    • The position serves as an extension of the executive team in communicating with employees, other executives, clients and partners. The candidate must be comfortable and prepared to engage at this level.
    • Screens telephone calls, visitors, and letters; answers routine questions and furnishes information.
    • The position will be responsible for the preparation and coordination of presentations for the executive team, including the creation and editing of documents to be shared with both global executives of IDEAL and external customers.
    • The candidate should have advanced skills in Microsoft Office and should be able to convey strategic, tactical and financial information into presentation and written form.
    • Set-up for meetings including coordinating meeting room reservations, catering for meetings and site break area and setting up and maintaining AV equipment; venue and hotel accommodations to be selected and managed as applicable
    • Assures the planning and coordination of the executive's calendar of events; schedules appointments and prepares detailed itineraries, complete with travel accommodations, etc.
    • Assures the maintenance of travel and expense account and records, including form preparation and figure reconciliation.
    • Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.
    • Other duties and special projects as assigned.

     

    Qualifications

    Requirements:

    • Education: High school diploma required. Bachelor’s degree preferred
    • Experience: 7-10 years related experience in an administrative assistant capacity and 3+ years as executive administrative assistant to a senior executive role
    • Expert with Windows Microsoft Office products, especially Excel, PowerPoint, Word and Outlook required.
    • High level of organizational, detail, planning and coordination skills required.
    • Problem solving skills and the ability to prioritize work are required.
    • Ability to organize information and handle multiple projects simultaneously is required.
    • Excellent verbal and written communication and interpersonal skills are required.
    • Ability to interface with a variety of personnel, levels, including Executive Staff, and a cross cultural backgound is essential.
    • Comfortable building and maintaining effective relationships with personnel in remote locations.
    • Exemplary planning, time management and organizational skills
    • Ability to maintain confidentiality is crucial.
    • Ability to maintain a flexible schedule is preferred.
